The week planner has numerous functions and settings. This guide covers everything you need to know about the side bar.

Where is the side bar?

The side bar is on the right-hand side of the planner.

Clicking on an icon opens the screen for that functionality.

The name of the tool appears if you hover your mouse over the icon, which should indicate the tool function.

What functions are there?

Templates

The template function means you don’t have to constantly create similar planning schedules.

The icons below allow you to save a planning screen as a template.

This first icon with the down arrow means “Load template”. If you have already made a template, click this icon to load it.

This opens a slide-in where you can choose the template and click on the blue button to load it.

Selecting the icon with the plus symbol allows you to create a template. A slide-in opens where you can give the template a name and description.

To do this, use the following icon.

The following slide-in opens.

Exporting

You can export your planning schedule to Excel or PDF. To do this, click on the ‘download arrow’ (arrow with a bar underneath).

This opens the following slide-in.

  • to show employees’ availability

  • to show the day information (weather and bookings)

  • to show open worktimes

  • to show declined worktimes

  • to only show planned-in employees

  • to also show the available employees.

Adding employees to a work area

The little person icon enables you to easily link staff to a particular work area on the planning screen. This means you no longer need to leave the page to link the staff via the settings or profile.

The slide-in opens;

  • Select the desired location (if multiple locations are available).

  • Then, select the work area you wish to link the staff member to.

  • Next, select the member of staff

  • And click “Assign”.

Default worktimes

You can think of default worktimes as regularly scheduled shifts. You can add these via “Settings – Default worktimes”.

Clicking on the clock symbol opens an overview of all your default worktimes. These are then easy to drag and drop into your planning.

Admin users can also add default worktimes from the planning page.

  • Open the default worktimes-icon in the side bar.

  • Click “Create default worktime”.

  • Choose a start and end time, and a break if required.

  • Click “Create”.

Calculating revenue

The euro symbol allows you to add costs and revenue to your planning screen.
