New day planner: making a schedule

This guide covers the following sections:

The biggest difference with your new daily planner is that now you only see one day at a time and you can plan in worktimes using the plus signs.

Creating a new schedule

You can create a schedule in the daily overview as follows:

  • Under “Planning” click “Workschedules

  • If you want to use the daily overview, click “Day

  • Select the day you want to plan by clicking on the date in the calendar.
    The selected day loads automatically.

  • The eye symbol on the right-hand side allows you to adjust the display settings.

  • Clicking on the plus sign in the schedule or on the second icon in the sidebar allows you to plan in a worktime

  • The following screen appears. Here you can fill in the necessary details, such as start and end time, the length of the break, work area and employee.

  • Finally, click Create.

  • The bar will turn red if you plan in personnel with no availability.

  • A circle with a line through it in front of a person’s name also indicates that they have no availability. In both cases, you can still plan the person in if you wish.

  • The 26:15 is the number of hours planned in that week.

  • The 40:00 is the person’s contractual hours.

  • The -28:00 (OT) is the overtime (which is negative in this case).

Below you can see a complete schedule. At the bottom there are orange bars which display the number of people planned in.

  • Now, you can see clearly per hour how many people you have planned in.

  • When you are satisfied with your planning, you can click on the green button “Send all worktimes”.

  • You can select how the worktimes are sent (via email or text message), the balance of the text messages, when you receive notifications and whether you want employees to have to approve their worktimes.

  • When you have adjusted all your settings, click on the green “Send” button.


    Below you can see the planning screen with approved worktimes.

Copying a schedule

If you want to use this particular planning screen multiple times, it’s easiest to copy it. You can do this using the “Plus” button in the sidebar.

The following screen appears after you click “Copy planning”. Then you choose whether to copy a day or week.

At the top you can see which day/week you have selected and below you can select where you want to copy it to. Finally, click “Copy”.

Clearing a day

To completely remove a day:

· Go to “More actions”

· Click “Clear day”.

Note: you cannot retrieve a deleted day.

Viewing notifications

At the top of the planning screen is a bell symbol with a red circle, which displays your notifications.

You can set-up which notifications you receive under “Management – settings – notifications”.

Add a remark

You can add a remark to a worktime or open worktime.
This is visually noted on the planning with an extra icon in the worktime.
