If an employee changes their contractual hours in the middle of a month, this can have an effect on processing wages.
These instructions explain how you can process these changes smoothly.
Note: the addenda module must be activated before following these steps.
To activate this, check if you have the “Addenda” tab under “Management”.
If you don’t have this module yet, you can always request it via the chat.
Custom work hours with addenda.
You can apply an addendum in Strobbo. To find out more about our addenda module and its functionality, read these instructions.
You should carry out an edit to the contractual hours as follows:
Apply a manual addendum for the affected week or weeks for the first month in which the hours change.
Then process the wages for the affected month.
AFTER processing the hours for this month, you can then correct the contractual hours in the employee profile.
For example: in the second half of October, an employee has a contract adjustment from 20 hours to 30 hours. Proceed as follows:
For the last two weeks of October, apply an addendum of 30 hours.
Then process the wages for October.
After you have processed the wages, adjust the employee’s contractual hours to 30 per week (in their profile).
Adding a manual addendum.
Go to “Management”, “Addenda”.
Click “Add addendum” in the top right.
Choose the correct details and the work hours for this week/these weeks.
Click “Add”.
5. When the employee clocks in, they’ll need to confirm an addendum (or they can do this in advance in our app).
Please note: Don’t forget to activate the addenda contracts via “Management - Settings - Contract”.
Processing the wages
Each user has an extra row with the contract types and the work hours per week included in the addendum/a which must be taken into account that week. When we are adjusting the policies, we also consider these factors.
After calculating the wages, you can edit the hours in the employee profile.
Editing hours in the profile.
Go to “Management - Users” and then to the profile of the user in question.
Go to the tab of the affected “Company”.
Edit the work hours per week.
Click “Save”.
