To find out what an open worktime is and how you can create one, read this guide.
In this guide, you’ll find the two open worktime options.
The approval mode
Please note: You cannot change the method yourself. You’ll need to make a request via our chat.
The classic mode
The classic open worktimes, also known as “first come first serve” method, works on the following principle:
The employee who accepts the open worktime first is the employee who appears on schedule as scheduled in.
The manager or admin doesn’t need to take any further action for the worktime. You simply need to send the open worktimes to the employees and the first one to react is scheduled in.
The Approval mode
The second method is different. First, you still send the open worktimes. The manager or admin still has the opportunity to approve who can accept the open worktime.
Proceed as follows:
Plan in the open worktime and send it to your employees;
the employee can select the open worktime and accept or reject it;
An open worktime that hasn’t been responded to appears purple in “My Worktimes”. An open worktime which an employee has responded to but which the manager/admin still needs to accept, appears orange in “My Worktimes”.
Note: this means multiple employees can accept the worktime.
To find out the status of the open worktime, click on it and then on the three dots. Then select, “Edit”.
The following screen appears.
You can then approve the person by clicking on the green tick. Clicking the red cross rejects the offer.
The status will change, as you can see in the screenshot below.
The employee you have approved appears on the schedule.
In the employee’s “My Worktimes” screen, the open worktime will also appear as an “Accepted open worktime” (green with yellow).
