On this settings page you can see which notifications you can set for your environment, from notifications in the schedule to Dimona notifications.


Note: this can only be accessed by environment admins.

Here you will find an overview of:

Planning notifications

There are notifications which are relevant for the whole environment:

  • Notify employee of work time cancellation
    Tick this box if you would like your employee to receive an email/text message when you cancel a shift.

  • Minimum rest time between shifts
    Here, fill in the minimum number of hours and minutes (hh:mm) permitted between two shifts.
    If this isn’t long enough, the shift is highlighted with a red box in the planning screen. Hover over the work time to see the details of the warning message.

  • Planning validation and availability
    This allows you to check whether you have planned in employees when they don’t have availability. You can opt for:

    • Inactive: not considering availability.

    • All absences: you receive a notification if someone is scheduled in during an absence such as a holiday.

    • Absence and availability: you receive a notification if someone is scheduled in during an absence or when they haven’t registered availability.
      This notification also generates a red box around a work time. Hover over the work time to see the details of the warning message.

The following notifications can be set up for each branch or location:

A red box appears around work times for these notifications too.

  • Check work time overlap
    Tick this box if you want to know when someone has been double-scheduled. For example, they have been scheduled in for two different areas at the same time.

  • Notify when EXT is planned for more than two consecutive days
    Tick this box if you want to know when an EXTRA (locum/zero-hours worker) is scheduled in for more than two consecutive days. The legislation does not permit this.

  • Work time limit planning
    Here, input the maximum number of hours and minutes that an employee can be scheduled per day.
    In the example below, the shift appears with a red box around it if an employee is scheduled in for longer than eight hours per day.

  • Maximum work hours per week
    If an employee is scheduled in for more than this amount, you’ll receive a notification.
    In the example below, you’ll see a red box appear around a work time if an employee is scheduled for more than 50 hours in one week.

  • Maximum number of days per week
    Tick this box if you want to receive a notification when you schedule your employees in for more than a certain number of days per week.
    Note: the number of days can only be changed or set up by a Strobbo consultant.

  • Notify when a minor (<18) is scheduled on a Sunday
    If this box is ticked, a red box will appear around a work time in the system if a minor (someone under 18 years old) is scheduled to work on a Sunday.

  • Notify when an employee is planned in for more than seven consecutive days
    Tick this box to receive a warning from the system if you schedule someone in for more than seven consecutive days.


As well as the red box, you’ll also see the notification more clearly when you click on the bell at the top of the screen. If you see a red circle next to the bell, you have notifications.

You’ll also see another overview of the warnings that need to be resolved when you go to send the work times.

User notifications

You can easily add your email and GSM number by pressing the blue plus symbol.


You’ll then receive notification when:

  • a work time is cancelled,

  • a user is created,

  • a new user registers,

  • and when a new holiday day is added.

You can add multiple numbers and emails.

Time Entry notifications

Tick the box for this option if you want to receive notifications (via email or text message) relating to the clock and clocking in and out.

Next, you can set up the following options:

  • Minimum working time: receive a message if someone clocks out before this time

  • Maximum working time: receive a message if someone remains clocked in after this time.

  • The working hours limit for minors: the same as above but set up for minors.

  • Latest allowed end time: receive a message if someone is still clocked in after this time.

  • You can also set this up for minors under 18 or 16 years old.

You can also tick a box to receive an email/SMS when an employee who isn’t scheduled clocks in.
Note: you need to use the scheduling feature for this option to work.

You can add multiple numbers and emails.

Dimona notifications

If you want to receive emails relating to Dimonas, you can add your email address (or multiple email addresses) by clicking on the blue plus symbol.

You can receive notifications via email when:

  • errors arise due to a Dimona,

  • a new Dimona is created,

  • a Dimona is edited,

  • a Dimona is cancelled,

  • a Dimona hasn’t been sent,

  • if an employee hasn’t clocked in or out.
