Add an absence type

Please note: that if you add absence/holiday types, you should notify us via chat. Possibly we would need to update/review the payroll rules to include this type.

As an Admin you can add types of leave yourself.
This can be done via the "settings" - "Absence types".

How to add an absence type

  • Go to the absence type page

  • Click on the green ADD button

  • The following pop-up will appear

Details of this pop-up

  • Name: the name of the type of leave

  • Description: a description of the type of leave

    An example of the above:
    - Name e.g. additional holidays
    - Description e.g. reduced working hours

  • Never expires: if you check this box, no expiry date will appear for the holiday type.

    An example of this could be the type “Illness”. Please note that for this type the balance does not expire.

  • Color: choose a color that will make the holiday type visible when scheduled.

  • Reporting code: the code of your social secretariat.
    E.g. for illness this is at Liantis 99zz.

  • Allow Negative: this type of leave does not need a balance, e.g. illness, but also overtime (if your employees work on a flexi system).
    The employee can have both negative and positive balances for this type.
    If you check this box, you do not need to add a balance in the user profile. (Click here for more info)

  • Only visible to chefs: if ticked, an employee cannot request this type of holiday themselves. You must add this type of absence for them.
    One example is often “authorised absence”.

  • Balance management: if checked, we will keep track of the balance for this type in the user's profile.

  • Counts as contractual hours: if you tick this, this type counts for the calculation of the contractual hours in a week when calculating overtime, but also for the payroll policy.

    E.g. you have the reduced working hours type; this counts as contractual hours. Your employee normally works 40 hours a week, eight hours a day. When they work four days and get one day of reduced working hours leave, this will be counted as if they had worked 40 hours that week.

  • Show in payroll: when ticked, this type of absence will be visible in the social secretariat overview.
    Please note: you always have to fill in a reporting code for this.

  • Hide in payroll export: this type will not be exported to your social secretariat.

An Example

The type ADV will not expire at the end of the year, the reporting code is ADV01, you do not have to give the employees a balance because the balance will go negative. The type is only visible to the admin/manager, the employee cannot request it themselves. We also count the ADV hours to calculate the contractual hours and finally, we export it to the social secretariat.
