Absence and availability: collective leave

If you want to grant more than one person a holiday, you can do so via our new “collective leave” function.

How do I grant Collective Leave?

  1. Go to Planning - Absences and availability

  2. Click on “Add” as with an ordinary absence.
    Don’t know how? Please read this guide.

  3. Select “multiple employees”.

4. Select the day or days you want to assign to the staff.

5. Select the type of absence.

6. Then select the duration of the absence.
You can make the same choices as for one single employee.

7. You can also enter a reason if you wish.

8. Click “next”.

9. The second page then opens.

On this page you can filter by contract type
In addition, you can tick extra employees if necessary.
Select the employees and click on next.

10. This page gives you an overview of who has been granted holidays. Employees for whom the absence can be registered can be found at the top.
You will always see:

  • the date

  • the type of absence

  • the duration

  • the employee’s name

  • the contract type

  • the working hours per week

  • the opening balance

  • the value entered (number of hours of absence)

  • the new balance

11. Click on add and the holiday for these employees will be registered.

Please note: it is possible to register holidays of 0 hours and 0 minutes. This can be identified by the orange triangle and the exclamation mark. The absence is registered in the system but does not affect the balance.

12. Below are the employees for whom the absence cannot be registered.


You will always be told what the issue is and you can change this in the user’s profile. Then you can register the holiday for him or her again.
